SEF Meeting Minutes 8.28.14

Meeting Minutes
August 28, 2014
7pm-9pm
Brook Haven Library
1. Call to order
Meeting called to order at 7:05pm by Megan Sorensen
Attendees: Sara Gramm, Sachi Sano-Holt, Ellen Harris, Melina Izzarelli, Debbie Hanks, Meg Mizutani, Andy Braden,
Julie Rottmayer, Debbie Ramirez, Marc Urbaitel, Kelly Burghardt, Mark Allen, Debbie Drehmel, Andrea Schmitz, Lisa

2. Community Report
Introductions were made and everyone shared what brought them to SEF, their children and how long
they’ve been a part of SEF. Board members identified, guests welcomed.

3. Approval of minutes
1st - Marc Urbaitel 2nd- Mark Allen

4. Treasurers Report
a) Financial Report – See P & L and Balance Sheets
b) Distribution Report - See P & L and Balance Sheets

5. Board Members and Officers
a) New Board Members/Board Offices
3 new board positions that SEF board would like to add:
Communication Coordinator,
Volunteer Coordinator,
Business Partnership Coordinator.

Lisa, Megan & Andy will meet to develop descriptions on what these roles look like.
Lisa makes a motion for Marc/Lynnsey Urbaitel to join board and serve as Communication Coordinator. Megan seconds the motion. Unanimous approval.

6. Organization of SEF/PC
Meg Mizutani shared the history of how allocations have been made for the last ~7years. Discussion followed on what a new funding formula(s) could look like. Conversation around sharing info through site council and making decisions on spending could be a positive change. LCAP/LCFF review. Would targeted donations earn more money? SEF would like to identify a “theme” or mission to clarify where funds are going.

Conversation around using Site Council as a vehicle for distribution. Site Council would identify areas of need for each school and money from SEF could be allocated for them. Many members were interested in moving forward in favor of that model, however, Debbie Hanks will first research the legalities and Ed Code issues around it. We need to verify Site Council can be responsible for that. More to follow next month.

7. Program Updates/New Business
a) Parent Connection
Ice cream social was a positive activity! We welcomed guests who were encouraged to help out and
attend meeting after enjoying ice cream this week.
Marc shared info regarding “room parent” concept and inviting them to share info,
blog/website/calendar info to other families. Mailchimp account being established to collect parent
emails. Meeting minutes will go out to all parents, blog will be updated. Info will be distributed at Back
To School Nights. Email blast will go out encouraging parents to sign up for SEF’s email list.

b) Back to School Messaging
Share info on SEF-PC, positive changes are happening, momentum is building, reviving the Parent
Connection and “get on board!” Much Ado info will be shared.

c) District Website
Debbie Hanks shared info on new brochure & website. Excited for roll-out in the coming week.

d) Much Ado Update
a. Transition
Becky Garlock & Andrea Schmitz are stepping down as coordinators. Need to share definition
of the director’s position in order to recruit leadership roles. Timelines were shared on
recruiting new leadership.
In order to ensure our booths are covered with volunteers this year, Marc Urbaitel made a
motion to offer Gravenstein & Twin Hills each a booth to staff for the 2014 Ren Faire. Their
volunteers will be paid an hourly wage, just like Analy groups currently do. Andrea Schmitz
seconded the vote. Unanimous approval.
